The Virtual Executive & Operations Assistant plays a strong role in helping founders hold onto what they find fun in business while they scale! This is a fully remote, contract position — and it's not your typical "manage my inbox and book my flights" kind of job.
Most of our clients are founders and business leaders who are genuinely great at running their business. What they're not great at — and don't want to spend their time on — is managing themselves. They need someone who can step in, see the full picture, and keep all the moving pieces in order without being told to. Someone who will proactively flag what's coming before it becomes a problem, who takes ownership of the back-end from the tiniest details to the larger projects so the leader can stay focused on the front.
The candidates we place in this role are the kind of people who get genuinely excited watching someone else succeed. They find real satisfaction in being the person behind the scenes who made something happen. They can zoom out and think strategically, then zoom back in and make sure not a single detail was missed.
This is a 1099 contractor position.
What You Could Do Day-To-Day
Every client is different, so this list is representative. not exhaustive. Common tasks our EA/Ops Assistants take on include:
- Drafting and editing communications, presentations, proposals, and reports that reflect well on the client and their business.
- Tracking projects, deliverables, and action items across the client and their team — following up, flagging what's slipping, and keeping things moving.
- Managing the client's calendar and time blocking, including helping founders stay focused on priorities instead of chasing every new idea that comes across their desk.
- Coordinating across team members and vendors, including those in different time zones, to keep communication and scheduling aligned.
- Building simple, easy-to-follow weekly reports that give the client visibility into key areas of the business and progress toward goals.
- Identifying operational inefficiencies and proactively suggesting improvements — whether that's in how something is documented, how a process runs, or where time is being lost.

What You'll Need To Hit The Ground Running:
- Based in the United States
- Availability during normal business hours (not just evenings and weekends)
- At least 3 years of higher level support experience (supporting C-suite leaders, supporting a founder directly beyond marketing and basic admin tasks, etc.)
- Reliable internet, laptop/computer, and phone
- Familiarity with common marketing tools and platforms (LinkedIn, email marketing systems, CRMs)
- Familiarity with common project management tools (, trello, clickup, etc.)

- Only candidates based in the US will be considered
- Hours vary by client engagement. Some clients start small at 5-10 hours per week, other clients start at 10-15+ hours per week.
