Position Overview - As the Property Manager of the Flagstaff Incubator and Accelerator facility, you will play a critical role in fostering a thriving community of entrepreneurs in various fields, including research and development, science, technology, clean energy, manufacturing, digital products, emerging technology, bioscience, healthcare, tourism, and astronomy. You will oversee all aspects of facility management, tenant relations, events, technology systems, and community engagement to create a dynamic and supportive environment for our campus tenants.
Key Responsibilities:
1. Facility Management:
- Ensure the facility is well-maintained and operational at all times.
- Oversee daily opening and closing procedures, including weekends.
- Coordinate security measures to safeguard the premises.
- Manage electronic key systems, issue keys as needed, and maintain key logs.
- Maintain cleanliness and functionality of common areas. Monitor and schedule carpet cleanings and additional services as needed.
- Order all supplies for the office, office machines, furniture, kitchen, etc.
- Make sure all signage is professional with Moonshot branding. Work with the Chief Marketing Officer to maintain branding templates to keep all information monitors working and updated.
- Oversee Scheduling of conference room usage, billing, and collections, and organize conference room before and after each use.
- Be the primary point of contact for all facility issues. Act as a liaison between local government agencies or people regulating, assisting or affecting business management or operations.
- Watch for and respond to building maintenance issues. Report maintenance issues to the City of Flagstaff maintenance staff and maintain a record of requested repairs and fixes. Deal with Fire Department and other facility inspections.
- Be on call during off-duty hours for emergencies and facility issues.
- If hired, Manage facility interns, and/or part-time coordinators.
2. Tenant Management:
- Process and evaluate tenant applications in conjunction with the City of Flagstaff guidelines.
- Implement engagement with potential and current clients by ensuring the facilitation of the application and onboarding process and fostering continued client engagement.
- Work with the Director of Finance and staff to handle all tenant invoices, payments, and lease agreements.
- Maintain promotional physical and/or electronic signage for all tenants and keep them up to date.
- Maintain and provide Excel spreadsheets for rent and tracking of leases for the City of Flagstaff.
- Foster positive relationships with tenants.
- Track tenant quarterly data related to investment, job creation, and company growth as needed.
- Maintain a high degree of client confidentiality and follow policies and procedures.
3. Technology Systems:
- Manage and maintain technology infrastructure.
- Provide technical support to tenants.
- Ensure the facility's IT systems are up to date and secure.
4. Financial Management:
- Develop and manage the facility budget in coordination with the CEO and Finance Director.
- Work in coordination with the Finance Director to handle financial transactions, including invoicing, payments, and bank deposits.
- Track expenses and revenue related to facility operations.
5. Event Coordination:
- Coordinate with the Chief Learning Officer (CLO) for training, mentorship, workshops, and scheduling Bootcamps.
- Organize and oversee on-campus community events in coordination with the Moonshot Team.
- Plan and execute quarterly tenant programs.
- Assist in planning and executing special events and programs and support the Moonshot staff with meeting or event preparation.
- Provide campus tours as scheduled or unannounced.
6. Reporting and Communication:
- Prepare monthly and annual reports for City partners as required.
- Prepare and participate in weekly Moonshot Team Zoom calls.
- Work with the Chief Marketing Officer to promote the Campus and Moonshot with Marketing and/or Social Media.
- Handle daily calls and emails from tenants and partners. Handle client and guest inquiries and direct them to the appropriate areas.
- Provide tours to potential tenants and visitors.
- Work with and directly communicate with the Director of Finance and Operations (HR) to share functional duties and necessary information needed during an absence.
7. Community Building:
- Create a vibrant "Community of Entrepreneurship" within the facility.
- Promote collaboration among tenants.
- Encourage networking and knowledge sharing.
8. Strategic Planning:
- Assist in developing and executing strategic plans for the facility.
- Identify opportunities for growth and improvement.

Pay: $45,000.00 - $60,000.00 per year
