Job Description:
The Project Coordinator role will support the Commercial Operations and PrecisionQ (PQ) teams across a broad range of project coordination and operational activities to ensure timely and successful execution of team priorities. The role will be responsible for building and maintaining tracking tools across commercial operations functions, coordinating across multiple stakeholders, managing documentation, supporting revenue tracking and reporting activities, and helping maintain team processes and materials. This individual has a versatile mindset, strong attention to detail, and the ability to manage and integrate content from a variety of workflows. This individual also has a passion for high-quality work and is able to independently and efficiently manage multiple priorities.
Responsibilities:
- Support the Commercial Operations and PQ teams across a broad range of operational activities, including project coordination, revenue tracking, reporting, and process management
- Track project and operational workflows in real time, proactively identifying risks or delays and escalating as needed to ensure timely delivery of key outputs
- Develop, maintain, and continuously improve tracking tools and dashboards to monitor project timelines, deliverables, revenue recognition, and KPIs
- Assist in tracking revenue recognition, invoicing milestones, and contract deliverables in alignment with project timelines
- Partner with finance and operations to reconcile project progress against forecast, support revenue reporting requirements, and maintain organized revenue recognition documentation
- Identify and work to improve upon any inefficiencies or roadblocks in timely delivery of program outputs
- Support the development, maintenance, and distribution of standard operating procedures (SOPs), templates, and best practices across the Commercial Operations function, identifying opportunities to improve workflows and operational efficiency
- Ensure teams consistently use the most up-to-date materials and processes
- Coordinate across internal teams to ensure alignment on timelines, deliverables, and dependencies
- Act as a central point of coordination in Commercial Operations and PQ to ensure seamless communication across workstreams
- Provide support to the team to schedule project meetings, prepare agendas, document meeting notes, coordinate contract execution, and create, review, and/or disseminate deliverables
- Prepare status reports for team and leadership review upon request
- Maintain project documentation (contracts, meeting minutes, deliverables), keep files organized, and suggest improvements to existing workflows, templates, infrastructure, and other areas as needed
- Maintain a high level of professionalism and confidentiality at all times
Qualifications:
- Bachelor’s degree in business administration, project management, or a related field
- 2+ years of project coordination, operations, administration, or a related role
- Strong organizational skills and attention to detail
- Team player with a cooperative attitude and growth mindset
- Ability to adapt to changes in a fast-paced environment
- Ability to independently organize, multi-task, and prioritize work
- Experience with project management tools/enterprise software systems, and tracking/reporting tools
- Excellent communication and interpersonal skills
- Experience with budget tracking or revenue recognition processes and associated reporting
- Ability to create clear, professional internal and client-facing materials
- Readily accessible and available to work during normal business hours (8am-5pm Eastern time) and, on occasion, outside of normal business hours on an as-needed basis. Candidates located in the Eastern or Central time zones strongly preferred.
Preferred Qualifications:
- Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification preferred
- Experience in life sciences or healthcare preferred
