We are hiring an Event Operations Manager, Field Team & Vendor Operations to lead the people, systems, and communication behind our event execution. This is a remote independent contractor role for someone who can manage field team readiness, vendor communication, staffing coverage, training systems, performance tracking, and process improvement across multiple markets.
We will consider both full-time and part-time contractor candidates, depending on experience, availability, and fit. This is a back-of-house operations role. It is not a sales role and is not focused on client communication, pricing, or proposals.
About the Role
The Event Operations Manager will own the field team and vendor side of the Studio operations. This person will make sure artists, coordinators, assistants, contractors, and vendor partners are recruited, onboarded, trained, scheduled, confirmed, supported, and continuously evaluated against Studio standards.
The role requires strong organization, clear communication, proactive follow-through, and the ability to manage many simultaneous moving pieces without details slipping. This person should also bring strong project management instincts and help the Studio improve how we use tools, processes, templates, documentation, reporting, and internal workflows as we grow.
Because most Studio events take place during evenings and weekends, this role requires regular real-time availability during active event hours. The person in this role is part of the Studio team and is expected to help strengthen quality, consistency, reliability, and profitability as the company grows.
Core Responsibilities
- Field team operations. Manage communication with artists, coordinators, assistants, contractors, and vendor partners across active markets
- Staffing readiness. Own event staffing coverage, confirmations, availability tracking, replacements, and backup planning
- Recruiting and onboarding. Recruit, screen, and onboard contractors to maintain a strong and reliable field team roster
- Training and SOPs. Develop, organize, and maintain training documents, onboarding materials, vendor resources, and SOPs
- Performance management. Continuously track artist, coordinator, and vendor performance, including reliability, readiness, professionalism, communication, and alignment with Studio standards
- Vendor network strength. Maintain enough qualified team members and backup options to support event demand across active markets
- Project management. Use systems and tools to keep many simultaneous events, staffing needs, follow-ups, and vendor tasks moving forward accurately and on schedule
- Tools and process improvement. Proactively contribute ideas for improving workflows, tools, templates, documentation, reporting, and internal processes
- Records and reporting. Keep contractor records, assignments, confirmations, readiness status, and performance notes accurate and up to date
- Real-time event support. Provide active support during event windows and help ensure field teams are prepared, informed, and aligned
Key Performance Areas
- Event staffing readiness. Events are properly staffed, confirmed, prepared, and supported with appropriate backup options
- Coordinator performance. Coordinators are prepared, responsive, organized, professional, and aligned with Studio expectations
- Artist performance. Artists are reliable, prepared, professional, communicative, and consistent with Studio quality standards
- Training and SOPs. Training materials, onboarding documents, vendor resources, and SOPs are developed, organized, current, and easy for the team to use
- Vendor network depth. The Studio maintains a strong, reliable, well-supported field team network with enough depth to meet event demand across active markets
- Operational systems. Tools, workflows, records, dashboards, and project management processes are used consistently to support many events and vendor tasks at the same time
What We Are Looking For
- 3+ years in event operations, vendor management, staffing, talent operations, hospitality operations, retail operations, project management, or a comparable role
- Experience working with contractors, freelancers, vendors, artists, event staff, or part-time field teams
- Strong written and spoken English
- Excellent organization, reliability, and follow-through
- Comfortable owning a high-volume people pipeline
- Strong project management skills and ability to manage many simultaneous tasks
- Comfortable using tools and systems to track work, deadlines, people, and follow-ups
- Able to communicate expectations clearly and professionally
- Calm under pressure and steady during people-related challenges
- Proactive relationship-builder with strong attention to detail
- Able to bring ideas, structure, and process improvements from prior experience
- Comfortable using Google Docs, Gmail, Calendar, Airtable, Slack, project management tools, or similar systems
- Fast and stable internet connection and a reliable home or office setup for calls and video meetings
- Availability during U.S. Central Time business hours for regular communication
- Regular evening and weekend availability during active event hours
- Bonus: experience in luxury hospitality, agency-side event production, creative operations, recruiting, project management, or contractor-heavy service businesses
Pay: $20.00 - $30.00 per hour
