Position Summary
This is not a remote position, and you should be able to commute to the bank every day. The Deposit Operations & Client Services Specialist is responsible for supporting the daily operational functions of the Client Services & Deposit Operations Department. This position serves as the department's primary subject matter expert for processing and managing return items, non-sufficient funds (NSF) transactions, and chargebacks, ensuring all related activities are completed accurately and within established timelines each business day. The individual will also cross-train across multiple departmental functions to provide operational support, maintain service continuity, and promote a collaborative team environment.
This role requires exceptional attention to detail, strong organizational skills, sound judgment, and effective communication with customers, branch personnel, and internal departments. Essential Duties and Responsibilities
Primary Responsibilities
- Review, process, and reconcile all return items, NSF transactions, and chargebacks daily, ensuring completion before established department deadlines.
- Investigate and resolve exceptions, discrepancies, and transaction-related issues promptly and accurately.
- Communicate with branch personnel, customers, and third-party institutions regarding returned items, disputes, and account adjustments.
- Maintain detailed records and documentation related to return processing and chargeback activities. Monitor operational reports and identify potential risks or irregularities requiring further review.
Departmental Support & Cross-Training
- Cross-train in all Client Services and Deposit Operations functions to provide backup support as needed.
- Assist with deposit operations activities, account maintenance, exception processing, research requests, and customer inquiries.
- Support departmental workflow during periods of high volume, employee absences, or special projects.
- Collaborate with team members to ensure timely completion of daily operational tasks and service requests.
- Participate in process improvement initiatives designed to increase efficiency and service quality.
Customer Service & Communication
- Provide professional and courteous service to internal and external customers.
- Respond effectively to inquiries while maintaining confidentiality and compliance standards.
- Build positive working relationships with branch personnel and other departments throughout the bank.
- Communicate operational issues and recommendations clearly to management.
Compliance & Risk Management
- Ensure compliance with all bank policies, procedures, regulatory requirements, and industry standards.
- Protect confidential customer and bank information.
- Assist with audits, examinations, and departmental reviews as requested.
- Maintain a strong understanding of applicable deposit regulations and operational procedures.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Previous banking, deposit operations, client services, or related financial institution experience preferred.
- Strong understanding of deposit account operations and transaction processing preferred.
- Exceptional attention to detail and accuracy.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks and meet daily deadlines.
- Proficiency with banking software systems and Microsoft Office applications.

Reporting To: Director of Deposit Services & Client Experience (or appropriate department manager) This position plays a critical role in ensuring the accuracy, efficiency, and integrity of the Bank's deposit operations while delivering exceptional support to both customers and internal stakeholders.
Pay: $30,000.00 - $40,000.00 per year
