Job Summary:
The Shipping Coordinator oversees the timely and efficient shipment of goods. This vital member of our logistics team is responsible for coordinating shipping schedules, preparing documentation, and ensuring compliance with regulations. This role involves liaising with carriers, suppliers, and internal departments to coordinate shipments and resolving any issues that may arise.
Duties/Responsibilities:
Outbound Shipping Responsibilities:
- Work closely with the Project Manager and customers to ensure on time shipments of TEKNO systems and or products which includes but not limited to necessary paperwork:
- Communicate performance expectations to the carrier for each load. I.E., pick-up dates & time, delivery date & time, special requirements, etc. (Track & Trace).
- All paperwork is completed in a timely manner based on the type of shipment to ensure on time delivery to end customer.
- Commercial Invoices.
- Bill of Lading.
- Packing Lists.
- International shipments require special attention (MX/CN).
- Work closely with Project Manager and customers to ensure all tasks are completed with high accuracy to ensure conveyor system shipments proceed without issue.
- Communicate load schedule and load plan with production load team.
- Inspect and approve load prior to release.
- Properly lagged or strapped to ensure no damage to product during shipment.
- The truck is loaded according to load plan.
- Pictures of the load are stored on the server in the project data folder.
- Ensure on time and accurate shipments of sales orders using the M1 dashboard.
- Clearly communicate obstacles to production and customer service to any sales order in a timely manner.
- Clearly communicate with customers if partial orders are shipped.
- Verify all paperwork and customer requirements before shipment.
- Verify carrier is correct prior to loading.
- Arrange and purchase freight for shipping that meets customer needs at the lowest possible cost.
- Retain and manage certificates of insurance and all other records on our carriers.
- Ensure loads adhere to safety policies and procedures.
- Minimize detention charges from carriers.
- Build strong working relationships with carriers
- Identify carrier performance issues, work to resolve those issues with carriers, and escalate events to management team as needed.
- Perform carrier-specific “needs analysis” to identify potential opportunities and develop problem solving strategies for successful carrier operations.
- Negotiate carrier contracts, including rates and payment terms in accordance with Finance, Legal, Senior Management principles.
- Resolve day-to-day issues that arise in a timely and efficient manner.
Inbound Shipping responsibilities:
- Schedule inbound freight for all domestic shipments.
Provide Production Control Support:
- Ensure extrusion beam is pulled and stage in saw area per production schedule.
- Assist customers with delivery or product problems and manage RMAs issued by Quality Control.
Shared inventory control support:
Ensure cycle counts are performed weekly as directed by the Material Manager.
Completes all other duties as assigned.
Required Skills/Abilities:
Ability to multi-task, organize, prioritize, and track many details in chaotic situations.
Proficient in E1, Microsoft Office. Proficient in writing work instructions and creating spreadsheets.

Education & Experience:
- High school diploma/GED required.
- Degree in business, logistics, inventory management, or a related field preferred.
- 2+ years of experience in material planning, inventory management, purchasing, or a related position.
Supervisory Responsibilities:
- This position does not supervise others.
