Job Overview

The Executive Assistant to the CFO serves as a strategic partner responsible for managing and optimizing all inbound and outbound communication for the CFO. This role acts as an extension of the CFO, ensuring timely, professional, and well-prioritized responses to phone calls, emails, and internal/external requests.

The ideal candidate is highly organized, detail-oriented, and possesses strong business judgment, with the ability to anticipate needs, manage competing priorities, and communicate effectively on behalf of senior leadership.

JOB DESCRIPTION
Communication Management & Executive Support

• Manage and triage the CFO’s follow ups ensuring timely and accurate responses
• Draft, edit, and send professional communications on behalf of the CFO
• Screen and prioritize incoming phone calls; handle or route inquiries appropriately
• Ensure all critical communications are addressed with urgency and follow-through
• Maintain a high level of confidentiality and professionalism in all interactions

Prioritization & Workflow Coordination

• Assess and prioritize requests based on business impact and urgency
• Track outstanding items, ensuring follow-ups are completed and deadlines are met
• Coordinate communication across departments (Finance, IT, Operations, Stores, Vendors)
• Serve as a central point of contact for internal and external stakeholders

Meeting Management

• Prepare meeting materials, agendas, and briefing notes as needed
• Capture action items and ensure timely follow-up on commitments

Process Improvement & Organization

• Establish and maintain systems for managing communication flow and requests
• Develop templates and standard responses to improve efficiency
• Identify opportunities to streamline communication and administrative processes
• Maintain organized digital records of correspondence and key documents

Education & Experience

o 2+ years of experience supporting senior executives (C-suite preferred)

o Exceptional written and verbal communication skills

o Fluency in Spanish and English (written and verbal), required

o Strong judgment with the ability to make decisions independently

o Proven ability to manage high volume of communication with accuracy and speed

o High level of discretion and professionalism

o Advanced proficiency in Microsoft Outlook, Excel, Word, and Teams
