The primary responsibilities of the Property Manager are to build and maintain positive business relationships with contractors and clients, increase profitability and asset value, as well as oversee and continuously enhance the daily operations of assigned portfolio of retail and office properties.
ESSENTIAL FUNCTIONS OF THE JOB
· Builds and maintain positive business relationships with contractors and clients.
· Oversees property management lease/rent cycle:
· Coordinates tenant occupancy and move-in;
· Manages all aspects of the lessee’s tenancy, including rent roll maintenance, critical date tracking, lease document maintenance and lease provision compliance.
· Follows up on rent payments as needed and maintains zero balance accounts receivable.
· Supervises tenant improvement construction and exterior renovations of managed properties.
· Assist in the transition of all new acquisitions and developments into the client portfolio.
· Enforces agreements and as needed, assists attorneys.
· Prepares annual budgets and monitors monthly for variance of actual activity compared to budget.
· Approves invoices for payment and prepares monthly reports for owners and management regarding financial performance.
· Develop and present complete and concise analyses and recommendations for all budgeted and unbudgeted projects based on proper and industry standard bidding procedures.
· Requests competitive bids for services related to maintenance, renovations, or improvements on properties.
· Ensure that the properties are being operated in a quality manner in accordance with company standards, policies and initiatives and communicate best practices, as appropriate.
· Travels to properties to tour/inspect as needed including some overnight travel to review property and equipment conditions and meet with tenants.
· Manages vendor/contractor relationships effectively to ensure service expectations and contract obligations are met and any opportunities for expense savings are achieved.
OTHER DUTIES AND RESPONSIBILITIES OF THE JOB
· Anticipates and responds to client concerns/needs in a professional, efficient manner.
· Seeks opportunities to increase customer satisfaction and strengthen customer relationships.
· Ability to respond to property emergencies after business hours and on weekends, as needed.

· Supports client account management, including accounts receivable.
· Reports unsafe conditions and responds to injury reports on property.
· Assists with identifying areas for improvement and making constructive changes.
· Assists other departments with projects, as necessary.
· Understands all aspects of the company and keeps abreast of changing policies and procedures.
· Performs other duties as assigned by VP, COO or client.

· Proficient in the use of Microsoft Word, Excel, and Outlook.
· Possesses the ability to prepare financial and other records in a systematic, neat, legible manner.
· Proven ability to maintain confidentiality of company and customer records.
· Communicates effectively (orally and written).
· Demonstrates capability to strategically plan ahead to meet deadlines and future company needs.

· Possesses strong analytical, organizational, and detail-oriented skills.
· Reliable transportation to be able to visit properties in and around Chicagoland
· Experience utilizing Yardi Property Management Software preferred.
EDUCATION / CERTIFICATION REQUIREMENTS
· Minimum of 5 years of commercial property management experience and client relations (retail, office, industrial)
· High school diploma or GED required.
· Possesses valid driver’s license and acceptable driving record
