About the Opportunity
We are seeking a highly organized, proactive, and dependable Personal & Executive Assistant / Real Estate Operations Coordinator to support a dynamic entrepreneur involved in multiple real estate, property management, and community leadership ventures throughout Massachusetts and Rhode Island.
This is an exciting opportunity for someone who enjoys variety, takes initiative, and thrives in a fast-paced environment. No two days are the same. The successful candidate will play a key role in helping multiple businesses and projects operate efficiently while supporting a growing portfolio of real estate and community-related initiatives.
A Massachusetts and/or Rhode Island Real Estate License is preferred but not required.
Key ResponsibilitiesExecutive & Administrative Support
- Manage calendars, appointments, meetings, and scheduling
- Coordinate travel arrangements and itineraries
- Organize emails, communications, and follow-up tasks
- Answer phone calls, manage messages, and respond to inquiries
- Assist with client communications and relationship management
- Handle confidential information with discretion and professionalism
Real Estate & Transaction Coordination
- Support residential real estate sales activities
- Assist with transaction coordination and document management
- Coordinate MLS listings, contracts, and related paperwork
- Support CRM management and client database organization
Marketing & Social Media
- Assist with social media management and content creation
- Coordinate marketing campaigns and promotional efforts
- Create marketing materials using Canva and other platforms
- Help maintain websites, online profiles, and digital presence
Property & Project Management Support
- Coordinate contractors, vendors, maintenance requests, and project schedules
- Assist with property acquisitions, renovations, and rehabilitation projects
- Support multifamily property operations and investment initiatives
- Help oversee home concierge and property management services
- Track project timelines, budgets, and deliverables
Community & Event Coordination
- Assist with community leadership and civic engagement activities
- Coordinate meetings, events, and community initiatives
- Support HOA and community management responsibilities
