As our Operations Specialist, you will act as the key operational support of our company. You will report directly to the CEO on all administrative, bookkeeping, inventory, purchasing, supply chain, logistics and E-commerce operations. Your primary mission is to ensure daily activities run smoothly by establishing, implementing, and executing efficient processes to support substantial growth in our product line, sales, and revenue. You will actively leverage AI tools to innovate, streamline workflows, and rapidly solve operational challenges.
Key Responsibilities
Purchasing, Inventory & Supply Chain
- Utilize Cin7 Core to place replenishment purchase orders on time.
- Maintain healthy inventory levels based on sales forecasts to prevent stockouts.
- Anticipate and inform leadership of supply issues to minimize business impact.
- Develop and maintain strong, collaborative relationships with suppliers.
- Optimize the purchasing and inventory workflow within Cin7 Core.
- Manage on-site inventory, including the light assembly of cosmetics products into unit cartons.
- Handle the assembly, packing, and labeling of products to ship to Amazon FBA.
- Perform physical inventory counts and regular cycle counts.
Accounts Payable support
- Verify and enter vendor invoices into Bill.com and/or QuickBooks Online.
- Process accurate and timely vendor payments via Bill.com or checks.
- Review and reconcile company credit cards to verify payments as correct.
- Support the outside bookkeeping team during month-end closing.
- Reconcile inventory records to the general ledger and investigate discrepancies.
- Manage payables and generate monthly financial statements for the entrepreneur-owner across two small entities.
E-Commerce support & administration
- Use Amazon Seller Central to handle Amazon shipments, inventory, and returns.
- Process incoming customer returns, refunds, exchanges, and product replacements within Shopify.
- Support shipping requests and related data entry adjustments for the customer service team.
- Handle general office administrative duties, manage office supplies, and assist the CEO with administrative projects.
- Establish standard operating procedures (SOPs), controls, and policies across all operational areas.
- Represent Runway Rogue professionally, adhering to all company policies and core values.
AI Integration & Operational Innovation
- Process Automation: Identify operational bottlenecks and use AI tools to automate repetitive tasks and data entry.
- Problem Solving: Leverage AI to troubleshoot discrepancies, analyze operational issues, and implement rapid solutions.
- Workflow Optimization: Continuously research and adopt AI-driven methods to improve overall business efficiency.
- SOP Creation: Utilize AI assistance to quickly draft, update, and organize Standard Operating Procedures (SOPs).
Qualifications & Requirements
- Education: Bachelor’s degree in Accounting, Finance, or an equivalent field.
- Software: Minimum 5 years of hands-on experience with Cin7 Core (or similar inventory ERP software), QuickBooks Online, and Bill.com.
- AI Fluency: Proven experience utilizing AI tools (such as ChatGPT, Claude, or specialized operational AI plugins) to solve problems, analyze information, and improve daily productivity.
- Inventory and AP: Minimum 5 years of proven inventory and accounts payable experience.
- E-Commerce Tools: Direct experience navigating Shopify and Amazon Seller Central.
- Office Tech: Minimum 5 years of experience with Excel (advanced ability preferred), Microsoft Office, Slack, and Google Docs.
- Soft Skills: Strong negotiation, analytical, problem-solving, time-management, and organizational skills.
- Adaptability: Ability to prioritize multiple tasks, meet tight deadlines, and thrive in a fast-paced environment.
- Communication: Exceptional written and oral communication skills with strong cross-functional collaboration.
Physical Demands & Abilities
- Regularly spend long hours sitting, standing, and using office equipment/computers.
- Move effortlessly between sitting and standing positions throughout the day.
- Spend extended periods in intense concentration reviewing and entering financial data.
- Use hands and fingers to handle and place small cosmetic items into unit boxes.
- Speak and understand English clearly to communicate effectively with teams and partners.
- Frequently work on time-sensitive projects with strict deadlines.
- Occasionally lift and move boxes weighing between 10–25 pounds.
- Frequently bend to file, organize, and maintain office records.
Job Type: Contract first 90 days, to Full-time
Schedule: Monday to Friday, on-site
Pay: $30.00 - $32.00 per hour
