Position Summary
The Remote Scheduling Coordinator provides administrative and scheduling support for foundation staff, committees, donors, volunteers, and community partners. This role ensures efficient coordination of meetings, grant review sessions, scholarship committee activities, donor appointments, training events, and board-related functions. The coordinator serves as a key point of contact for scheduling communications and calendar management across the organization.
Key Responsibilities
Calendar Management
Manage multiple organizational calendars.
Schedule internal and external meetings.
Coordinate Executive Director appointments.
Schedule donor meetings and stewardship calls.
Arrange grant review committee meetings.
Coordinate scholarship committee schedules.
Manage recurring staff meetings.
Schedule board and trustee meetings.
Coordinate volunteer orientation sessions.
Track meeting confirmations and attendance.
Event Coordination
Schedule virtual and in-person events.
Coordinate community outreach activities.
Manage registration calendars.
Send event reminders and follow-ups.
Support fundraising event logistics.
Coordinate training sessions and workshops.
Reserve meeting spaces when needed.
Maintain event schedules and timelines.
Administrative Support
Prepare meeting agendas.
Distribute meeting materials.
Record scheduling updates.
Maintain contact databases.
Organize shared calendars.
Update scheduling systems.
Support project tracking activities.
Assist with document preparation.
Communication Management
Respond to scheduling inquiries.
Serve as liaison between departments.
Coordinate communications with donors.
Manage meeting invitations.
Send reminders and confirmations.
Track RSVP responses.
Follow up on scheduling changes.
Maintain professional stakeholder communications.
Reporting & Documentation
Maintain scheduling records.
Generate calendar reports.
Track meeting participation.
Monitor scheduling conflicts.
Support operational reporting.
Update organizational databases.
Maintain confidentiality of records.
Required Qualifications
Associate degree or equivalent experience.
Administrative or scheduling experience.
Experience working remotely.
Proficiency with Microsoft Office Suite.
Experience with Google Workspace.
Strong calendar management skills.
Excellent written and verbal communication.
Ability to manage multiple priorities.
Strong organizational skills.
High attention to detail.
Pay: $25.52 - $30.73 per hour
