Position Summary

We are seeking a Business Coordinator who thrives in a fast-paced environment and takes ownership of keeping leaders organized, prepared, and moving forward. This is a hands-on role at the center of executive operations, where judgment, attention to detail, and follow-through directly impact how effectively the team operates.
You will manage operations for senior leaders, keeping priorities on track through strong calendar management, meeting coordination, travel planning, and consistent follow-through. The work is fast-moving, requires constant prioritization, and demands a high level of organization and responsiveness.
You will also work across teams supporting acquisitions and partner success, helping keep timelines, materials, and communication aligned as priorities evolve.
This is a high-visibility, fully remote role for someone who takes pride in bringing structure to complexity, staying one step ahead, and ensuring nothing falls through the cracks.
Responsibilities
You will operate at the center of executive operations, keeping priorities on track and ensuring work moves forward without friction. The pace is fast, priorities shift, and strong execution matters.
Executive Operations
· Keep executive calendars aligned to priorities, making real-time adjustments as needs shift
· Coordinate meetings across stakeholders, ensuring time is used effectively
· Stay ahead of scheduling conflicts and competing demands
Meetings and Follow-Through
· Coordinate meetings from scheduling through follow-up
· Ensure materials, agendas, and next steps are clear and organized
· Track action items and keep work moving forward
Travel and Logistics
· Manage travel planning and itineraries aligned to evolving schedules
· Handle logistics and details so leaders can stay focused on priorities
· Prepare and submit expense reports accurately and on time
Deal Workstream and Acquisition Coordination
· Track timelines, organize materials, and maintain visibility across active workstreams
· Coordinate across acquisition-related activities to keep work aligned and progressing
· Follow up on inputs and next steps to ensure continuity
Operational Support
· Support procurement workflows and vendor coordination as needed
· Keep documents, files, and shared materials organized and accessible
· Step in to support team priorities and keep work moving
Qualifications
· Bachelor’s Degree, required
· 5–7 years of experience in executive support, administrative coordination, or business operations
· Experience supporting senior leaders in fast-paced, high-volume environments
· Strong calendar management, meeting coordination, and travel planning experience
· Exposure to acquisition-related work or complex, cross-functional initiatives preferred
· Strong organization, attention to detail, and follow-through
· Clear and professional communication skills
· Advanced proficiency in Microsoft Excel and Google Sheets
· Advanced proficiency in CRM management tools like Salesforce and others
· Proficiency in Microsoft Office and Google Workspace
