About the Role

We are seeking an experienced HVAC Permitting & Warranty Coordinator to join our team in Harwich Port, MA. This role is responsible for managing permits, coordinating inspections, processing warranty claims, supporting service operations, and ensuring projects remain compliant and organized from start to finish.

HVAC industry experience is required. ServiceTitan experience is strongly preferred.

The ideal candidate has experience working in an HVAC, plumbing, electrical, or home services environment and understands the day-to-day coordination required between customers, technicians, manufacturers, and municipalities.

ResponsibilitiesPermitting & Compliance

• Prepare, submit, and track permits with local municipalities and governing agencies
• Schedule and coordinate inspections
• Monitor permit approvals, expiration dates, and compliance requirements
• Maintain accurate permit records and documentation
• Communicate permit status updates with customers, technicians, project managers, and inspectors

Warranty Administration

• Process manufacturer warranty registrations and warranty claims
• Coordinate warranty-related service appointments and follow-up activities
• Communicate with manufacturers, vendors, technicians, and customers regarding warranty issues
• Track claim status and ensure timely resolution
• Maintain organized warranty records and supporting documentation

Service Operations Support

• Support service scheduling and coordination as needed
• Assist with work order management and service documentation
• Maintain accurate customer records within ServiceTitan
• Support field teams with administrative and operational needs
• Ensure customer communications are handled professionally and efficiently

Administrative Support

• Answer incoming calls and assist customers, vendors, and team members
• Perform data entry and maintain accurate records
• Prepare reports and documentation as needed
• Support daily office operations and special projects

QualificationsRequired

• Minimum 2 years of experience in the HVAC industry
• Experience coordinating permits and inspections
• Experience handling warranty claims and manufacturer communications
• Strong organizational, communication, and customer service skills
• High attention to detail and ability to manage multiple priorities
• Proficiency with Microsoft Office and general office software

Preferred

• ServiceTitan experience strongly preferred
• Experience with HVAC service operations and scheduling
• Familiarity with HVAC terminology, equipment, and workflows
• QuickBooks experience
• Experience working with municipal permitting processes
