Summary of Role
United Way of Greater Charlottesville (UWGC) seeks a detail-oriented, relationship-centered, and technology-savvy Donor Services Coordinator to support the organization’s fundraising operations through exceptional data management, donor stewardship, and administrative coordination.
This position will play a key role in the implementation, administration, and ongoing optimization of a new donor relationship management (CRM) platform. The Donor Services Coordinator will help establish and maintain the systems, processes, and reporting infrastructure needed to support continued growth across individual, corporate, and foundation giving programs.
The ideal candidate is an organized and service-oriented nonprofit professional who combines strong operational and analytical skills with a commitment to donor stewardship and community impact. This individual will help ensure data accuracy, support fundraising processes, generate reports and insights, and provide excellent service to donors and colleagues alike. Key Responsibilities
CRM Leadership & Development Operations (30%)
Support the implementation, administration, and ongoing maintenance of UWGC’s new donor CRM platform.
· Assist with data migration, cleanup, validation, and ongoing maintenance of constituent and fundraising records.
· Partner with staff, consultants, and vendors to configure CRM workflows, reports, dashboards, and integrations.
· Help develop and document organizational standards for data entry, gift processing, reporting, and donor stewardship.
· Provide day-to-day support to staff using the CRM and fundraising technology tools.
· Monitor data quality and assist with continuous improvement processes to ensure accuracy and consistency.
· Support user permissions, security protocols, and data governance practices.
· Identify opportunities to improve fundraising efficiency and donor experience through technology and process improvements.
*Preferred CRM Experience: Blackbaud Raiser's Edge NXT or comparable fundraising database platform.
Gift Processing & Donor Stewardship (30%)
Ensure accurate, timely, and donor-centered processing of philanthropic contributions.
· Process and record gifts, pledges, recurring donations, matching gifts, grants, and sponsorship contributions.
· Coordinate daily gift reconciliation and deposits in partnership with the Finance team.
· Generate gift acknowledgments, tax receipts, pledge reminders, and donor statements.
· Maintain accurate donor records, contact information, recognition preferences, and communication history.
· Support donor recognition programs and stewardship initiatives.
· Respond professionally and promptly to donor inquiries regarding gifts, payments, and account information.
· Ensure compliance with IRS regulations and nonprofit fundraising standards.
Fundraising Analytics & Reporting (20%)
Support fundraising strategy and organizational decision-making through accurate reporting and data management.
· Generate reports for leadership, board committees, grant proposals, audits, and fundraising initiatives.
· Assist with tracking donor retention, campaign performance, fundraising progress, and revenue trends.
· Produce donor segmentation lists and mailing lists for appeals and engagement efforts.
· Support annual fundraising planning through data collection and reporting.
· Assist with tracking organizational fundraising goals and key performance indicators.
Development & Prospect Support (10%)
Provide administrative and operational support for donor cultivation and fundraising activities.
· Conduct prospect and donor research using public information and wealth-screening tools.
· Prepare donor and prospect profiles to support relationship-building efforts.
· Track donor engagement activities and stewardship actions within the CRM.
· Support grant tracking and foundation stewardship processes.
· Assist with donor communications and development-related projects as assigned.
Events & Engagement Support (10%)
Collaborate across departments to support donor, volunteer, and community engagement events.
· Manage event registration systems, attendee tracking, and post-event reporting.
· Coordinate donor-related logistics and stewardship activities for fundraising and engagement events.
· Support preparation for Board of Directors and advisory committee meetings.
· Assist with community engagement initiatives including Day of Caring, donor appreciation events, impact tours, and other organizational gatherings.
Other duties as assigned to meet the needs of the organization
Qualifications and Education Requirements
· Minimum of 2 years of nonprofit or administrative experience, preferably in fundraising, donor services, development operations, advancement services, or related fields.
· Experience working with constituent databases, CRM systems, or fundraising technology platforms.
· Strong organizational, analytical, and problem-solving abilities with exceptional attention to detail.
· Ability to manage multiple projects and priorities simultaneously.
· Excellent written and verbal communication skills.
· Proficiency with Microsoft Office Suite, particularly Excel.
· Commitment to confidentiality and ethical stewardship of donor information.
· Ability to work both independently and collaboratively within a team environment.
Preferred Skills
· Experience with Blackbaud Raiser's Edge NXT.
· Experience supporting annual giving, corporate partnerships, or foundation fundraising.
· Familiarity with CRM implementation, data migration, or technology transition projects.
· Knowledge of nonprofit fundraising best practices and donor stewardship principles.
· Bachelor's degree or equivalent combination of education and experience.
Additional Requirements
· Ability to remain seated and work at a computer for extended periods.
· Occasional evening or early-morning attendance at donor and community events may be required.
