POSITION SUMMARY
The position is operational leader responsible for overseeing financial administration, billing operations, human resourcea, office management. This role requires strong accounting expertise, operational discipline, and the ability to work closely with executive leadership.
In a recurring revenue MSP/MSSP environment, precision in billing, revenue reconciliation, and contract alignment is critical. The Office Manager ensures that financial systems are accurate, auditable, and scalable.
This position is structured to evolve into a Financial Officer role as the company grows. The selected candidate must demonstrate the capability to manage current responsibilities while building structured financial systems for future scale.
CORE RESPONSIBILITIES
1. Financial Management & Accounting
- Oversee all Accounts Payable (AP) and Accounts Receivable (AR) functions
- Maintain accurate general ledger records
- Assist with payroll processing and commission tracking
- Update and maintain the company’s Daily Financial Dashboard
- Support monthly close process and prepare financial summaries for leadership
- Ensure financial documentation is organized, complete, and audit-ready
- Coordinate with external accountants, tax advisors, and auditors
- Maintain strong internal controls to safeguard company assets
2. Billing & Revenue Operations
In a Professional Services and Managed Services environment, billing accuracy directly impacts profitability.
- Oversee monthly recurring managed services billing
- Ensure proper contract setup within the Professional Services Automation (PSA) system
- Reconcile service activity, technician billable time, and agreements within the PSA
- Monitor revenue alignment between:
- Managed Service Agreements (MSAs)
- Statements of Work (SOWs)
- Service Level Agreements (SLAs)
- Identify discrepancies between time entries, contracts, and invoices
- Reduce revenue leakage through proactive reconciliation
- Monitor AR aging and assist in collections follow-up
3. Vendor & Contract Administration
- Manage vendor contracts, software licensing, and subscription renewals
- Track renewal timelines for:
- Client agreements (MSAs, SLAs, SOWs)
- Vendor software and service contracts
- Support pricing documentation and margin analysis of service offerings
- Maintain centralized documentation for financial and vendor records
4. HR & Office Manager
- Coordinate recruiting logistics and onboarding documentation
- Maintain employee records, certification tracking, and licensing documentation
- Coordinate benefits administration and enrollment processes
- Maintain confidentiality of sensitive financial and personnel information
- Support internal communication and documentation systems
- Office supplies

5. Compliance & Risk Management
- Maintain documentation for insurance, audits, and regulatory requirements
- Track internal policy acknowledgments and compliance training completion
- Support cybersecurity compliance documentation in coordination with compliance and security teams
- Maintain documentation standards aligned with CMMC and internal audit readiness
REQUIRED QUALIFICATIONS
- Bachelor’s degree in Accounting or Finance
- Minimum 7+ years of accounting or financial management experience
- Strong understanding of GAAP principles
- Must have experience with QuickBooks Online
- Advanced proficiency in Microsoft Excel
- High attention to detail and a strong internal controls mindset

- CPA certification completed
- Experience in a recurring revenue or service-based business model

Pay: $55,000.00 - $60,000.00 per year
