Position Summary
The Dean’s Circle Admissions Expert provides admissions support for students enrolled in our top tier, high touch Dean’s Circle product line. This role is focused on top tier execution and delivery—supporting students with direct edits and reviews (with the support of our Executive Writing Specialist), and guidance on standard application components - to maximize their chances of acceptance.
The Dean’s Circle Expert provides in-depth, long-term admissions guidance for highly selective students, while working collaboratively as part of the Dean’s Circle team to maintain excellence, efficiency, and consistency across all deliverables. The position requires expertise in admissions advising, team leadership, and product quality assurance, as well as the ability to represent Jack Westin in external events and professional forums.
The ideal candidate has substantial experience advising premedical students and/or working in medical school admissions, coupled with a proven record of student success. This role requires strong leadership, excellent communication skills, and the ability to balance individualized student support with team oversight.
Key Responsibilities
Student Support
- Provide coaching for up to 40 Dean’s Circle students per cycle, with support extending up to 4 years prior to application submission including but not limited to providing free dean’s circle consults for potential clients/leads and follow up to drive sales, event presentations and outreach and applicant readiness assessment and rejection reviews followups to drive business.
- Assist Sr. VP Admissions and Lead Deans Circle Expert with recruitment, presentations and support of Dean’s Circle initiatives while serving as a source of insight and guidance to both the academic advisers/sales team and the Premium, Signature, Core and A la Carte product providers
- Provide one-on-one advising for students applying to medical and other healthcare professional programs as needed (PA, Dental, Pharmacy, Vet, etc.), with a primary focus on medical admissions.
- Conduct Dean’s Circle consults and follow up calls as needed to drive business as well as applicant readiness assessment and rejection review follow ups to potentially upsell into Dean’s Circle (or if not other products)

- Secondary Essays
- School List Reviews
- MD/PhD Essays
- Letters of Intent/Interest
- Mock Interview Prep
- Other Reviews and Client Materials as needed such as review committee support, graduate school insight, etc
Client Service & Oversight
- Provide timely responses via the JW MAC Dashboard; ensure application updates and student responsibilities are met, provide guidance to ensure application tasks and documents are completed on time.
- Manage first-line client service issues with the highest degree of professionalism.
- Maintain regular and continuous communication with high-level clients to ensure smooth transitions and maximize acceptance outcomes.
- Conduct intake assessments by zoom, producing detailed written evaluations on application readiness, academic qualifications, and strategies to maximize competitiveness (via our onboarding feedback and opportunities documents - templates provided)
- Respond to student questions via the JW MAC Dashboard within designated timelines and schedule zoom call supports as needed with a focus on dashboard communication
- Independently schedule and manage student appointments.
- Maintain accurate records of deliverables, deadlines, and completed edits.
- Provide excellent customer service to ensure students feel supported throughout their entire package engagement.
- Offer personalized coaching on all components of healthcare professional program applications.
Leadership
- Assign, track, managed and oversee deliverables/applicant timelines and due dates using the team’s tracking system for your clients
- Provide superior student support while adhering to company processes and feedback from supervisors.
- Stay current in the field of medical admissions through ongoing professional development, reading, networking, and participation in professional organizations.
- Contribute to projects, events, and initiatives as needed.
- Other duties as assigned by your manager
Representation & Events
- Represent Jack Westin Medical Admissions at in-person and virtual events (pre-health fairs, campus visits, professional conferences).
- Deliver MAC presentations to student audiences and professional groups as needed.
Business & Growth
- Support referrals from inbound consult requests, Conduct Applicant Assessments and Rejection Reviews into Dean’s Circle (or other) products.
- Provide feedback on product development, process efficiency, and sales growth.
- Contribute to year-over-year growth strategies and performance goals.
Professional Development
- Maintain expert knowledge of admissions trends and ADCOM expectations.
- Lead professional development meetings for internal staff as needed or requested
- Stay active in professional organizations and educational opportunities.
Qualifications
- Required: Aminimum of five to eight years’ medical admissions committee experience
- Medical Degree (MD or DO) desirable but graduate level (masters degree or above required)
- Preferred: 5+ years of experience in a leadership or managerial role ideally in medical admissions support.
- Deep knowledge of the premedical journey and medical school admissions process.
- Strong written and oral communications skills, including public speaking.
- Excellent organizational skills; ability to manage multiple students and projects under tight deadlines.
- Flexibility to accommodate seasonal peaks of the medical admissions cycle.
- A record of professional development in admissions.
- Excellent supervision, analytical, and organizational skills.
- Ability to manage multiple projects on tight deadlines and prioritize effectively.
- Ability to work collaboratively to achieve objectives.
- Track record of delivering strong customer service and success - ideally in admissions support.
- Expertise in the premedical student journey and the medical school admissions process.

- Technically proficient with strong internet connectivity to support remote advising.

- Since this is a 100% remote position, solid technical proficiency is required. High-speed internet with bandwidth to access all these tools concurrently is a must.
