Working Animals Giving Service for Kids (W.A.G.S. 4 Kids) is seeking a Program Operations & Training Admin to support the structure, coordination, accountability, and execution of our service dog training program, including work within correctional facility partnerships.
This is a program operations-focused role that works closely within the training environment to support consistency, communication, workflow management, and program execution across multiple locations. The ideal candidate is highly organized, proactive, systems-minded, and comfortable managing multiple moving parts while supporting structured training operations.
This role is critical to maintaining accountability, visibility, structure, and quality across the training program as W.A.G.S. continues to grow and strengthen its operational infrastructure.
Responsibilities
Training Program Coordination
- Coordinate weekly training schedules across all program locations
- Maintain clear, up-to-date schedules for correctional facility programs (Grafton and Mansfield)
- Ensure trainers, volunteers, and stakeholders are informed and prepared
- Support communication and coordination across multiple program locations
Dog Tracking & Program Oversight
- Maintain accurate, real-time records of all dogs in training, including:
- Location
- Training stage
- Progress and milestones
- Track timelines and proactively flag delays, inconsistencies, or concerns
- Provide regular operational updates to leadership
- Support accountability and visibility across the training program
Training Support & Execution
- Participate in training sessions across program locations
- Provide constructive feedback on dog performance and handler progress
- Maintain consistency in training standards and methods
- Serve as a substitute trainer when needed
- Assist with quarterly evaluations and program assessments
- Consult with trainers and leadership on individual dog cases
Program Operations & Systems Support
- Support the Director of Training with operational coordination and program execution
- Organize documentation, reports, and training records
- Assist in maintaining consistency across trainers, dogs, and locations
- Support implementation and ongoing management of tracking systems, workflows, and operational processes
- Identify opportunities to improve efficiency, organization, communication, and accountability across the program
- Experience implementing or improving operational workflows, tracking systems, databases, or multi-site program coordination is strongly valued
Communication & Accountability
- Coordinate communication between trainers, leadership, volunteers, and program partners
- Follow up on timelines, assignments, and action items
- Maintain organized and documented communication systems
- Ensure operational follow-through across moving parts and stakeholders
Logistics & Supply Coordination
- Track and coordinate training supplies, equipment, and materials
- Support preparation for training sessions and program needs
ODRC Program Tracking & Accountability
- Track ODRC trainer participation, service hours, and overall program engagement
- Maintain accurate records to support reporting, compliance, and program accountability
- Monitor and track training supplies, usage, and inventory across correctional facility locations
- Identify gaps, inconsistencies, or potential issues in participation, performance, or resource allocation and communicate proactively with leadership
Qualifications
- 3–5 years of experience utilizing positive reinforcement dog training methods
- Experience working within service dog, therapy dog, or structured canine assistance programs preferred
- CCPDT or IAABC certification preferred; ADI-accredited experience strongly valued
- AKC Good Canine certification accepted
- Experience in program coordination, operations, administrative support, or multi-site program environments
- Strong organizational and time management skills
- Ability to manage multiple moving parts across locations
- Ability to provide constructive feedback and consult on training cases
- Comfortable stepping into training sessions and leading when needed
- Comfortable working in structured environments, including correctional facilities
- Strong communication, initiative, and follow-through
- Comfortable learning and working within evolving operational and data management systems
- Valid driver’s license and reliable transportation
Schedule
- Part-time (approximately 20 hours/week)
- Required in-person days: Mondays and Wednesdays (Grafton and Mansfield)
- Additional flexible hours for coordination and administrative work
Location: Northeast Ohio
- Required weekly travel to Grafton and Mansfield (Mondays and Wednesdays)
- Additional local travel as needed
