Position Summary
The IT Manager is the organization's sole on-site technology resource and the “boots on the ground” for all day-to-day IT operations. This individual owns the full lifecycle of every piece of hardware and software in the environment — working with a Managed Service Provider (MSP) from procurement and deployment through maintenance and retirement. They serve as the primary network administrator, the hands-on onsite helpdesk resource, and the keeper of the organization's technical asset records.
Cybersecurity compliance support is provided by a dedicated third-party partner (CyberSheath); this role coordinates with that partner and implements their on-site directives but is not expected to independently manage the compliance program.
The ideal candidate is a dependable, technically well-rounded professional who takes ownership of the physical and operational IT environment and keeps things running reliably day in and day out.
Core ResponsibilitiesHardware Management & Maintenance
- Procure, configure, image, and deploy all end-user devices including desktops, laptops, monitors, printers, mobile devices, and peripherals.
- Perform routine preventive maintenance on all hardware; diagnose and resolve hardware failures in a timely manner.
- Coordinate warranty service, vendor RMAs, and third-party repairs as needed.
- Manage the decommissioning and disposal of end-of-life equipment, ensuring proper data sanitization prior to disposal.
- Evaluate hardware performance and make refresh recommendations to leadership based on age, condition, and organizational needs.
- Set up and break down workstations for new hires, role changes, and departures.
Technical Asset Log & Inventory Management
- Maintain a comprehensive, continuously updated technical asset register covering all hardware and software owned or leased by the organization.
- Record and track for each asset: asset type, make/model, serial number, asset tag, purchase date, warranty expiration, current condition, physical location, and assigned user.
- Conduct periodic physical audits (at minimum quarterly) to verify the accuracy of the asset log against actual on-hand inventory.
- Flag discrepancies, missing items, or untracked assets and escalate to management for resolution.
- Maintain records for all incoming and outgoing equipment including employee assignments, transfers between staff, and equipment returns at separation.
- Ensure the asset log is accessible to authorized stakeholders and kept in an agreed-upon format (spreadsheet, ITAM platform, etc.).
Software Licensing & Asset Management
- Maintain a software asset inventory tracking all licenses, seat counts, renewal dates, version levels, and vendor agreements.
- Ensure the organization remains in compliance with all software licensing terms; conduct periodic reconciliation audits.
- Manage Microsoft 365 / Azure AD administration including user account provisioning, license assignment, and offboarding.
- Coordinate software renewals with vendors and finance; flag upcoming expirations with adequate lead time.
- Evaluate and deploy new software solutions as directed; manage updates and patch deployment across all endpoints.
Network Administration
- In coordination with the MSP: install, configure, and maintain all networking equipment including routers, managed switches, firewalls, wireless access points, and cabling infrastructure.
- Administer DNS, DHCP, VLANs, and IP address management to ensure reliable, segmented network connectivity.
- Monitor network performance and availability; troubleshoot and resolve connectivity issues with a sense of urgency.
- Manage VPN and remote access solutions; ensure secure connectivity for any remote or hybrid users.
- Maintain up-to-date network documentation including topology diagrams, IP address schemas, and equipment configuration records.
- Liaise with the ISP(s) on service issues, circuit changes, and bandwidth planning.
Systems Administration & User Support
- Administer Windows Server environments, Active Directory, Group Policy, shared drives, and print services.
- Manage endpoint protection and ensure all devices are enrolled in the organization's security toolset as directed by the compliance partner.
- Oversee backup systems; conduct and document periodic restoration tests to verify data recovery capability.
- Serve as the primary Tier 1–3 helpdesk resource; triage, prioritize, and resolve user-reported hardware, software, and connectivity issues.
- Maintain a ticketing or request log so that all IT issues and resolutions are documented.
- Provision and deprovision user accounts, email, and system access in coordination with HR and management.
Compliance Partner Coordination
- Serve as the on-site point of contact for CyberSheath, facilitating their remote work and implementing their on-site directives.
- Assist with the collection of evidence, configuration screenshots, and documentation required for compliance assessments.
- Apply security configurations, patches, and policy changes as instructed by the compliance partner.
- Escalate observed security anomalies, incidents, or policy gaps to the compliance partner promptly.
- Ensure staff complete any IT security awareness training as coordinated by the compliance partner.
Vendor & Procurement Coordination
- Manage day-to-day relationships with hardware vendors, ISPs, and IT service sub-contractors.
- Obtain quotes, process purchase requests, and track deliveries for IT equipment and supplies.
- Maintain records of IT contracts, service agreements, and support entitlements.
AI & Technology Innovation
- Identify, evaluate, and implement AI-powered tools and automation solutions to streamline IT operations, reduce manual workload, and improve service delivery across the organization.
- Deploy and manage Microsoft Copilot and other AI-assisted productivity tools; provide guidance and light training to staff on effective AI use in their day-to-day roles.
- Use AI tools to assist with scripting, documentation generation, log analysis, and incident triage to accelerate resolution times.
- Stay current on emerging AI and automation technologies relevant to IT operations; proactively recommend adoption where it aligns with organizational goals.
- Ensure responsible AI usage within the organization by establishing basic guidelines around data privacy, acceptable use, and security considerations for AI platforms.
QualificationsRequired
- 5+ years of hands-on IT experience in a generalist or systems administrator role.
- Solid working knowledge of Windows desktop and server operating systems and Microsoft 365 / Azure AD administration.
- Demonstrated experience with enterprise or SMB networking equipment (routers, switches, firewalls, wireless — any major vendor).
- Experience maintaining hardware and software asset inventories.
- Strong troubleshooting skills across hardware, software, and network issues.
- Highly organized with a disciplined approach to documentation and record-keeping.
- Ability to work independently, prioritize competing demands, and escalate appropriately with minimal supervision.
- Comfortable lifting and moving IT equipment up to 50 lbs.
- Demonstrated ability to leverage AI tools (e.g., Microsoft Copilot, ChatGPT, Claude, or similar) to improve IT workflows, automate routine tasks, and enhance operational efficiency.
Preferred
- Associate's or Bachelor's degree in Information Technology, Computer Science, or a related field (or equivalent experience).
- Relevant certifications: CompTIA A+, Network+, or Security+; Microsoft (MS-900, MD-102); or similar.
- Experience working in or alongside a defense contractor or compliance-sensitive environment.
- Familiarity with ITAM platforms or structured asset tracking tools.
- Experience with a helpdesk ticketing system (Freshservice, Jira Service Management, ConnectWise, etc.).
- Hands-on experience with AI-assisted IT tools such as Microsoft Copilot for IT operations, AI-driven monitoring/alerting platforms, or AI-powered scripting and documentation tools.
- Proven track record of identifying opportunities to apply AI or automation to reduce manual IT workload and improve response times, accuracy, or user experience.
Working Conditions
This is a full-time, on-site position. The role requires physical presence to support hardware installation, user support, and facilities-based IT infrastructure. Occasional off-hours availability may be required for maintenance windows, outages, or urgent support needs. The work environment includes standard office settings as well as server / wiring closet environments.
Compensation & Benefits
